Processes linked to content management and the life cycle of documents have become increasingly complex over the last few years. Requirements relating to content, version management, and translation as well as new output formats have rapidly increased the demands on content management. At the same time, the value and significance of content has risen for all company departments, so much so that technical editors have become knowledge managers for the entire company. Traditionally, files have always been stored on a network drive and copied using copy and paste. However, this process is no longer sustainable for handling today’s requirements and those to come in the future. SCHEMA ST4 is a piece of standard software that enables you to centrally create, optimize, manage, translate and version manage content for all departments. Content can also be published efficiently and securely in many different output formats using this tool.

Central Management

All content, including text, graphics, screenshots, tables, safety notices and supplier documentation in PDF or multimedia format, is stored in a central information pool. From this shared pool you can compile projects in SCHEMA ST4 in which you reuse content. Projects form the basis of output documents. The integrated variant management feature makes it possible to filter out specific content from master documents, show and hide optional modules, or to conveniently produce product series with different characteristics.

Media and Structure-Neutral Storage

The text content is stored in universally standard XML (Extensible Markup Language) format. This ensures the content is stored with no reference to its structure or media and means you do not have to depend on proprietary file formats, predetermined formatting such as “Heading 2”, or special software. When publishing content, all standard output formats can be used. In the standard version of SCHEMA ST4 you can choose from a variety of output formats, including Word, InDesign, FrameMaker, PDF, online help and compiled help files, all current versions of HTML and PowerPoint. The document structure is made up of assembled modules. Numbering and cross references are updated automatically, ensuring they are always correct. The information model used in the standard version of SCHEMA ST4 is based on many years of practical experience and application, and covers the standard requirements of most content management systems. It guarantees that content is created consistently and in a structured manner even for projects with a large scope. In SCHEMA ST4 texts are created using well-known editor programs, such as MS Word, Adobe FrameMaker, or Just Systems XMetal. This reduces the amount of training required as well as license costs, while increasing acceptance and enabling authors that only write content occasionally to be involved in the process. The integrated authoring validation feature makes working in SCHEMA ST4 even more intelligent and efficient. While you are writing, SCHEMA ST4 searches the entire database of text for existing, similar content and suggests this is reused. Permitted and forbidden terminology is also stored and shown to the author.
